Creating a Session

From Manage → Group Events, Create Event opens a three-step form:

  1. The session itself — what it is, when, and where.
  2. Session Features — what happens during it.
  3. Advanced Options — when it appears, who runs it, what Discord does.

Step one saves the session as a draft. A draft is yours alone — members don't see it listed and can't open it. It sits in your session list marked Draft until you publish it, either with the button at the end of the last step or from the session list. If you set a publish date in step three, publishing hands the session to that date rather than to the group; without one it goes out straight away.

Step 1: the session itself

Title and category. The category is a list your group builds as it goes — type a new one on the form and it is created.

The categories themselves are at Manage → Event Categories, where each one gets a color. That color is the badge on the session and the mark on the calendar, so a group running two or three kinds of evening can tell them apart at a glance — and a Sessions tab can be built to show only some of them.

When. A start date and time, then either a duration or an explicit end date and time.

Description. Markdown, so headings and links work.

Where. Three kinds of location, and they combine:

  • The built-in meeting, if your group has it. It comes with its own settings — Built-In Meetings has them, and how to run one.
  • An external meeting app — a link to Zoom, Meet or anything else, with notes for access codes. Can be a backup for the built-in meeting rather than an alternative to it.
  • In person, with a venue and notes for the room or floor.

Tickets, if the session needs people to reserve a place: a capacity, or a link out to Eventbrite or Meetup with your own wording on the button.

Step 2: features

The whole of Session Features.

Step 3: advanced options

When members see it. Publish a set number of days before the start, or on a date you choose. Session list visibility decides who sees it listed at all.

Running it. Start the session automatically, end it automatically, or do both by hand from the player page.

Who runs it.

  • Hosts have full player control — they drive playback for the room.
  • Moderators moderate comments and can work the door on a ticketed session, without taking over the player.
  • You can require a confirmed email address for particular actions.
  • Recap visibility decides who can play the session back afterwards. Each artist can then narrow it further for their own track.

Discord, if the group is connected: give people a role for turning up, and choose what earns it — reserving a place, attending live, or watching the recap for a number of minutes. The role can be created for you, with its color, whether it is hoisted or mentionable, and a private channel and category.

After an edit

If you change the title, the start time or the description, you're offered to send members a message about it when you save.

Where that message goes is the group's Message Targets, at Manage → Advanced: an on-site message, an email, a Discord post, or any combination. With none of them on, the site sends nothing on your behalf at all.
