Recurring Sessions
A recurring session is for a session that repeats: the same kind of evening, every fortnight, without setting it up from scratch each time. It lives at Manage → Recurring Events.
How it works
A recurring session points at a session you already made and creates more like it on a schedule. So start by setting up one session exactly as you want it, then build the series from that.
Making one
Start from the session, not from the Recurring Events page. In Manage → Group Events, right click the session you want to repeat and choose Repeat This Event — the form opens with that session already filled in as what it copies. Adding one from the Recurring Events page instead means typing the session's id by hand.
Name it something you will recognize in a list.
Based on — the session it copies. Every session it creates gets that session's features, submission settings, permissions and Discord options.
Recurrence — daily, weekly, every two weeks, monthly, every two months or quarterly, with an interval on top where it helps. Then, depending on which you picked:
- Days of week, for the weekly kinds — a session every Tuesday and Thursday is one series.
- Day of month, or week of month, for the monthly kinds — "the 15th" or "the second week".
Sessions start on, and optionally end on. Without an end date it carries on indefinitely.
Future sessions to create is how far ahead it runs. A handful is usually right. Creating a year of them doesn't put a year in front of members — each session still appears only when its own publish setting says so, so with a session published 30 days ahead that is all anybody sees, however many exist. What a big number does fill up is your own list.
Avoid conflicts stops it creating a session on top of one that is already there.
Creating the sessions
It keeps itself topped up. Each time one of its sessions ends, the next one is created — so once it is running you shouldn't need to come back here.
Create Instances makes the first batch, and any time you want the calendar filled further ahead than it is.
Delete Future Instances removes the ones that haven't happened. It only touches sessions still to come — nothing that has already run is affected.
Sessions in this series lists what it has made, so you can see what is actually on the calendar.
Changing the recipe
You will often improve one of the sessions as you go — a better description, different submission limits — while the series still points at the original.
Two ways to move the series onto the better one:
- When you save the edit. Editing a session the series made, you're asked whether future sessions should be based on it.
- From the sessions list. Right click the session and choose Use for Future Events, whenever the thought occurs to you.
Sessions already created don't change; this affects the next batch.
